Vacancy for Operations Coordinator with Radio Maria


Radio Maria is a 24hr Catholic Radio Station set up to broadcast programmes promoting and expressing the Christian Faith.

Operating from studios in both London and Cambridge, it is part of the World Family of Radio Maria, whose headquarters are in Italy.

Radio Maria currently has 77 radio stations across five continents with 500 million listeners world-wide. Radio Maria is a non-profit organization run by a mixture of professionals and volunteers, lay people, clergy and religious.

The Role

Radio Maria's vision and strategy sets out an ambitious and exciting journey, to expand our listening base across England and Wales and to provide our listeners with meaningful, inspirational and enjoyable programming.

We are looking for a highly motivated and enthusiastic individual to join the Executive Committee. A key figure of the association (middle management) and often the link between top-level management and operations staff (technical, administrative, etc.), the role provides an opportunity to be involved in supervising all key operational areas, including recruitment, managing staff and office administration including support of volunteers.

Reporting to the President and the Priest Director, the purpose of this role is to provide comprehensive administrative support across multiple business functions and between two sites; working as part of a team to deliver services that support the activities of the organisation's business functions and to achieve the Executive Committee's strategic aims and objectives.

This post will be based between the London and Cambridge studios. In a typical week, the Operations Coordinator will spend three days in London (Camden area) and two in Cambridge (central).

Key Accountabilities

- Support the President and the Director in the delivery of administrative activity across the professional and administration services
- Assess the annual operational budget and review resources periodically, taking into account the real needs and verifying the actual progress.
- Manage the selection and recruitment of new staff and volunteers.
- Responsible for payroll management in conjunction with professional services.
- Assist with and respond to queries on a wide variety of topics, e.g. operational, HR, finance and communications etc., signposting to the correct team member as appropriate
- Assist with the organisation of designated events, committees, or working groups
- Provide general administrative support as required, including (but not exclusive to) purchasing and payments, receipt of deliveries, defect reporting, assisting with the running of events, maintaining office equipment, preparing routine correspondence, and diary management
- Disseminate information on behalf of the World Family of Radio Maria, as requested
- Maintain up to date records; gathering data from listeners and volunteers, and entering the data accurately in order to maintain database(s) and/or specified areas of the World Family of Radio Maria's intranet
- Research and book travel arrangements, adhering to risk assessment and other safety procedures
- Undertake an active role in the health and safety management of the two designated offices, contributing to the maintenance of a safe working environment for colleagues and visitors
Contribute to the effective and efficient running of a designated office through a team approach, providing assistance to colleagues as appropriate
- Ensure that all financial records in their area of work are submitted to the trustees in a timely and properly recorded fashion.- Any other duties within the scope and general nature of the grade as required by the President
- Participate in the preparation of the chapel for Mass
- Represent Radio Maria at Christian events
- Lead the team in prayer when asked to do so by the Priest Director
- Manage relationships with the technical operational staff and meet with them periodically for scheduling and evaluating the offered services.

Knowledge, Skills and Experience

Ability to work independently wherever possible and using own initiative to organise own workload in response to changing demands and priorities

Experience of managing confidential and/or sensitive information with tact and discretion, and a working knowledge of data protection GDPR requirements

Demonstrable administrative skills, including experience of establishing and maintaining filing systems (electronic and paper), servicing committees etc.

Strong verbal and written communication, planning, development, delegation and management skills.
Experience in managing people, projects and resources

Excellent organisational skills, including the ability to triage queries and issues efficiently

Good IT skills with proficiency in the use of Microsoft Office (especially Outlook, Excel and Word) products and aptitude for development in and use of core software and data systems

High attention to detail with a commitment to data accuracy and integrity

Ability to work quickly and accurately to tight deadlines whilst paying attention to detail

Ability to work as part of a team with a willingness to learn the responsibilities contained within other roles, providing team resilience during staff absences

To work flexibly as required by the demands of the post
